Nature of Work:

Under general supervision of the Senior Director, Integrated & Event Marketing, the Event Marketing Manager will support the planning and execution of all Outdoor Sportsman Group (OSG) company-wide events.

Examples of work performed:

  • Lead, project manage and execute large-scale client events including, but not limited to; conferences, executive summits, sales meetings, consumer trade shows, business-to-business trade shows, and the Hunt. Fish. Feed program.
  • Venue management of all event details such as decor, AV, catering, entertainment, transportation, location, guest list, special guests, equipment, promotional materials etc.
  • Review and edit contracts and BEOs for hotel agreements, F&B orders, AV orders etc.
  • Manage hotel room blocks for each event.
  • Manage staff registration for all applicable events.
  • Build and distribute registration forms to collect staff travel information.
  • Build and oversee shared calendars for events utilized by attending staff members.
  • Create and distribute Staff Manuals alongside all staff communication for those attending events.
  • Oversee website development and content management for all newly established events
  • Write and edit external communication for attendees and exhibitors/vendors for all newly established events (i.e., e-blasts with vendor deadlines or other important information).
  • Create and manage customer service emails as needed for OSG produced events.
  • Conduct research on potential locations for new events, arrange site visits to scout venues, hotels, shuttle services etc.
  • Main point of contact for all special events on-site (i.e., ATA Producers Party, Ad Sales Conference etc.)
  • Conduct outreach and manage talent appearances at all applicable events.
  • Plan and execute (9) Hunt.Fish.Feed events across the country in partnership with local homeless shelters or military bases and XFINITY.
  • Liaison between XFINITY and OSG for all Hunt.Fish.Feed events, ensuring volunteers have the appropriate information on shift time, location, and duties
  • Liaison between OSG PR team and XFINITY for all Hunt.Fish.Feed PR efforts
  • Submit creative requests as needed as well as place orders for backdrops, banners and other signage through third party vendor.
  • Oversee payments and budget tracking for premiums, hotel contracts, talent invoices etc.
  • Oversee and manage ideation, ordering and budget tracking of premiums (i.e., staff gear, trade show giveaways, corporate gifting etc.)
  • Manage inventory of all premiums and fulfill internal requests for items.
  • Assist with booth layout and approved graphics for trade shows.
  • Liaise with internal clients such as Ad Sales and Affiliate Departments, listening to their needs and presenting ideas and solutions to their requirements
  • Continue to develop and present extensive options for virtual and covid-19 safe events to execute safely and effectively while continuing to meet partner expectations
  • Create, manage and execute virtual events across the company including conferences and meet-and-greets
  • Experience with CVENT and other registration system management platforms
  • Develop budget estimates and keep detailed fiscal records for all events
  • Produce detailed proposals for events (e.g., timelines, venues, suppliers, legal obligations, staffing and budgets)
  • Post-event evaluation (including data entry and analysis and producing reports for event stakeholders)

  • Minimum
    • Bachelor’s Degree required.
    • Proficiency in Microsoft Office Suite required.
    • 5-10 years of event planning and execution required. Tradeshow registration. attendee management and hotel room block experience required.
    • Minimum 5 years of experience on managing and executing 30 plus events annually.
    • Minimum of 5 years of experience interfacing with high level executives.
    • Applicants must meet minimum qualifications at the time of hire.
  • Preferred
    • Event management and attendee registration software experience a plus

  • Base Hourly range $28.84-$33.65 per hour
